Privacy Policy

Maintainly is a home-maintenance reminder app operated by Kapybara LLC, a Wyoming, United States limited liability company ("Maintainly", "we", "us"). This Privacy Policy explains what data we collect, why we collect it, who we share it with, and the choices and rights you have. We collect only what we need to run the app, we do not sell your personal data, and we do not track you across other apps or use your data for advertising.
Data we collect
- Email address: used to sign you in and to send transactional emails such as magic-link sign-in messages.
- Your home and maintenance data: the properties, equipment, tasks, completion history, and any optional costs you choose to enter.
- Photos: optional images you attach to tasks or equipment.
- Product analytics: events about how the app is used (for example, which features are opened) so we can understand usage and improve the product.
- Purchase and subscription status: whether you have an active Maintainly Pro subscription or the lifetime purchase. Payments are processed by the Apple App Store or Google Play; we never receive your card or payment details.
How we use your data
- To provide the core service: storing your maintenance data and sending you reminders.
- To sign you in and keep your account secure.
- To sync your data across your devices.
- To deliver and restore your Maintainly Pro or lifetime purchase.
- To understand product usage and improve the app.
- To communicate with you about your account or your support requests.
We do not sell your personal data, we do not use your data for advertising, and we do not track you across other companies' apps or websites.
Legal bases for processing
Where the laws of your region (such as the EU or UK GDPR) require a legal basis, we rely on the following:
- Performance of a contract: to provide the app and the features you ask for, including reminders, sync, and purchases.
- Legitimate interests: to secure the service, prevent abuse, and improve the product through analytics.
- Consent: where required, for example before sending certain communications. You can withdraw consent at any time.
- Legal obligation: where we must process data to comply with applicable law.
Third parties and sub-processors
We share data only with the service providers that help us run the app, each acting under its own terms and processing only what is needed for its function:
- Neon: hosting of our Postgres database (your account and maintenance data).
- Cloudflare: R2 object storage for optional photos and Cloudflare Pages for our website.
- PostHog: product analytics, hosted in the United States. PostHog is not used for advertising and does not track you across other apps.
- RevenueCat, together with the Apple App Store and Google Play: subscription billing, purchase management, and receipt validation.
- Plunk: delivery of transactional emails, such as sign-in messages.
- Apple and Google: authentication when you choose Sign in with Apple or Google.
How you sign in
You can sign in using an email magic link, Sign in with Apple, or Google. When you use Apple or Google sign-in, that provider authenticates you and shares your email address with us so we can create or access your account.
Data retention
We keep your account and maintenance data for as long as your account is active. When you delete your account, we delete your associated data from our database and remove your photos from storage. We may retain limited records where required to comply with legal obligations, resolve disputes, or enforce our agreements, and backups are purged on a rolling basis.
Security
Your tasks, homes, equipment and history are reached only through an authenticated API that checks that you own the data you are requesting. Photos and documents you attach while signed in are stored under long random addresses that are not listed anywhere and are only shared with someone if you share them; anyone who has such an address can open that file. Connections are encrypted in transit, and our providers store data in secured, access-controlled facilities. No method of transmission or storage is completely secure, but we use reasonable measures to protect your information.
Your rights
Depending on where you live (including the EU, UK, United States, and Canada), you may have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to lodge a complaint with your local data protection authority. You can access and export your data in the app, and you can contact us at [email protected] to exercise any of these rights. We do not discriminate against you for exercising your rights.
Deleting your account and data
You can permanently delete your account and all associated data at any time from Settings › Delete account in the app. You can also email us at [email protected] and we will delete your account and data on your behalf.
Children
Maintainly is rated 4+ and is intended for a general audience. It is not directed to children under 13, and we do not knowingly collect personal data from children under 13. If you believe a child has provided us personal data, contact us and we will delete it.
International transfers
We are based in the United States, and our providers (including our database, storage, analytics, and email vendors) may process your data in the United States and other countries. Where data is transferred from the EU, UK, or other regions, we rely on appropriate safeguards, such as standard contractual clauses, where required by applicable law.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date above and, where appropriate, notify you in the app.
